Invoice format: what to put on every invoice

A clear invoice gets paid sooner. Here are the fields that belong on it, a filled-in example you can copy, and the small mistakes that make clients sit on a bill.

The fields, and why each one is there

1. Your name or business name and contact. The client's accounts person may never have spoken to you.
2. A unique invoice number. Sequential is easiest: INV-0001, INV-0002. Never reuse one.
3. Issue date and due date. Write a date, not “30 days”. A date gets paid, a phrase gets interpreted.
4. Who it's billed to. The company's legal name if they have one, not just the person you worked with.
5. Line items. One line per piece of work, with quantity and rate. “Design work — 45,000” invites questions.
6. Discounts and taxes, shown separately. If you're registered for a tax, show it as its own line with your tax number.
7. The total, in a currency code. PKR, INR, USD. A bare “$” is ambiguous for overseas clients.
8. How to pay. Bank name, IBAN or account number, UPI ID if you're in India. This is the line people forget.

Mistakes that delay payment

• Sending a Word file. It can be edited by accident and looks unfinished. Send a PDF.
• File named invoice.pdf. Name it with the number, client and date so it's findable in a chat.
• No payment details, so the client has to ask, and then forgets.
• Invoicing weeks after the job. The sooner it goes out, the sooner it's paid.
